Beautiful Detours

Booking & policies

The fine print, in plain words.

How booking, payments, cancellations and your information work on a Beautiful Detours retreat.

Last updated October 2026. Each detour has its own booking agreement with exact dates. Where it differs from this page, the agreement applies.

Booking & deposits

Every guest applies first, then joins a short call so we can make sure the detour is the right fit. Your place is confirmed once you sign the booking agreement and pay the deposit.

  • A $500 deposit holds your place. It’s non-refundable, because it reserves your room, our suppliers and our facilitators.
  • The remaining balance is due 90 days before departure unless your booking agreement sets a different schedule. Payment plans are available.
  • Once your booking is confirmed, your price won’t go up, except for add-ons you choose or new taxes set by third parties.
  • Card, bank and transfer fees from payment providers are non-refundable.

Cancellations & transfers

Our groups are small and our suppliers are booked months ahead, so cancellation terms depend on how close to departure you cancel.

If you cancelWhat happens
90 days or more before departureYour deposit is kept. Other payments are refunded, less provider fees and any costs already committed on your behalf.
60 to 89 days beforeUp to 50% of the trip price is non-refundable. Any refund depends on what we can recover from suppliers or whether your place can be filled.
Less than 60 days beforePayments are non-refundable. No-shows, late arrivals and early departures are also non-refundable.
If we cancel a detourYou choose a full refund of what you paid us or a move to a future detour. Flights and other outside costs aren’t covered.
Events beyond our controlFor storms, travel advisories and similar events, we may offer a new date, a credit or a refund less costs we can’t recover.
  • You can transfer your place to someone else up to 60 days before departure, with our approval and their completed forms.
  • We strongly recommend travel insurance that covers cancellation, medical care, evacuation, delays, baggage and adventure activities. Some detours may require it.
  • Please contact us about any billing question before opening a payment dispute. We’ll work it out with you directly.

Changes & group size

Weather, ocean conditions, local advisories or supplier availability can change a plan. When that happens, we swap in a comparable experience, facilitator, meal or activity. Each detour has a minimum group size. If it isn’t reached by the final payment date, we may move, combine or cancel the detour, and the terms above for detours we cancel apply.

Health & participation

Detours can include yoga, breathwork, sound, swimming, hiking, heat ceremonies such as temazcal, and travel on local roads. Every session is optional, and you can adapt or skip anything.

  • Guests must be 18 or older unless we agree otherwise in writing.
  • Before the trip, you’ll complete an intake form with your emergency contact, dietary needs and anything we should know to keep you safe.
  • Our hosts and facilitators don’t give medical advice or treatment. Please check with your doctor before traveling if you’re pregnant or have a heart, breathing, heat-related or mental health condition, a recent injury or anything else that could be affected.
  • Bring any medication you need. In an emergency, we’ll get you help, and related costs are yours or your insurer’s.

Conduct & respect

We travel as guests in other people’s homes. We ask everyone to respect fellow travelers, hosts, guides, staff, local communities, ceremonies and the land. Behavior that is unsafe, abusive, harassing, discriminatory or illegal can mean leaving the detour without a refund. Local laws apply, and illegal drugs are never permitted.

Travel documents

You’re responsible for your passport, any visas or entry forms, insurance documents and prescriptions, and for making sure the name on your booking matches your passport. Entry rules change, so please check the current requirements for your destination before you fly. We send route advice for each detour, but flights are booked separately and missed connections or delays are not covered.

Photos & content

We photograph and film parts of each detour to share the experience. By booking, you agree we can use images you appear in for Beautiful Detours content. If you’d rather not appear, tell us in writing before the trip and we’ll leave you out of planned content. We can’t guarantee you won’t appear in the background of group or candid moments. Please don’t share photos of other guests, local people, children or ceremonies without permission.

Privacy

We collect what we need to plan and run your detour: your contact details, emergency contact, dietary needs, relevant health information, travel details and payment status. Messages you send through this website are stored with the form provider we use to collect them.

  • We never sell your personal information.
  • We share it only when needed to run your trip or when the law requires it, for example with lodging, transport, facilitators, payment providers, insurers or emergency services.
  • We send occasional emails about new detours. You can unsubscribe at any time.
  • To see, correct or delete what we hold about you, send us a note through the Plan a detour page.

Private & corporate bookings

Private evenings, weekends, corporate programs and partner events are covered by their own proposal and agreement, which set the price, payment schedule and cancellation terms for that booking.
